Privacy Policy
Last updated: August 31, 2026
This Privacy Policy describes how SolarPay ("we", "us", or "our") collects, uses, stores, and shares information when you use the SolarPay Agent mobile application, the SolarPay CRM web application at crm.solarpaynow.com, and related services (collectively, the "Services").
1. Who we are
SolarPay provides software for pay-as-you-go (PAYGo) solar distributors. Our Services are used by authorised employees and agents of distributor organisations ("your organisation") to manage customers, contracts, payments, and field operations.
For questions about this policy, contact us at privacy@solarpaynow.com or support@solarpaynow.com.
2. Information we collect
Depending on how you use the Services, we may collect:
- Account information — name, email address, phone number, job role, and organisation affiliation for CRM users and field agents.
- Customer information — names, contact details, addresses, government ID numbers or images, and other data your organisation enters when registering customers for PAYGo contracts.
- Location data — GPS coordinates when agents capture customer or contract location during field registration (with device permission).
- Photos and documents — ID photos, customer photos, or other images uploaded for verification or record-keeping.
- Financial and transaction data — contract terms, payment schedules, repayment history, virtual account details, commissions, and related billing information.
- Device and usage data — device type, operating system, app version, IP address, log data, and diagnostic information needed to operate and secure the Services.
3. How we use information
We use collected information to:
- Provide, maintain, and improve the Services for your organisation;
- Authenticate users and enforce role-based access;
- Process and display contracts, payments, and agent activity;
- Calculate commissions and operational analytics for authorised users;
- Send service-related notifications (e.g. account or security alerts);
- Detect fraud, abuse, and security incidents;
- Comply with legal obligations and respond to lawful requests.
We do not sell personal information. We do not use customer or agent data for third-party advertising.
4. Legal basis (where applicable)
Where data protection laws require a legal basis, we process personal information to perform our contract with your organisation, based on your organisation's instructions as data controller, and where necessary for legitimate interests such as security and service improvement. Certain processing (e.g. location or ID images) may also rely on consent obtained through the mobile app or your organisation's customer onboarding process.
5. How information is shared
We may share information only in these circumstances:
- Within your organisation — authorised CRM users and agents according to permissions set by your administrator.
- Service providers — hosting, cloud infrastructure, email, or support vendors that process data on our behalf under contractual safeguards.
- Payment integrations — when your organisation enables payment providers or virtual account services necessary to collect repayments.
- Legal requirements — when required by law, regulation, court order, or to protect rights, safety, and security.
6. Data retention
We retain information for as long as needed to provide the Services, meet contractual obligations to your organisation, and comply with applicable law. Retention periods may vary by data type and your organisation's policies. When data is no longer required, we delete or anonymise it in accordance with our procedures.
7. Security
We use technical and organisational measures to protect information, including encryption in transit (HTTPS/TLS), access controls, and audit logging. No method of transmission or storage is completely secure; we encourage strong passwords and prompt reporting of suspected unauthorised access.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to data portability or withdrawal of consent where applicable.
CRM users and agents should contact their organisation's administrator first. You may also contact us at privacy@solarpaynow.com. End-customers whose data is held on behalf of a distributor should direct requests to that distributor (the data controller).
9. Children
The Services are not directed at children under 16 and are intended for business use by authorised adults. We do not knowingly collect personal information from children.
10. International transfers
Your information may be processed in countries other than where you live. Where required, we implement appropriate safeguards for cross-border transfers.
11. Mobile app permissions
The SolarPay Agent app may request device permissions including:
- Location — to record customer or installation coordinates during registration.
- Camera / photos — to capture ID documents or customer verification images.
- Notifications — for operational alerts where enabled by your organisation.
You can manage permissions in your device settings. Some features may not work without required permissions.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version at https://solarpaynow.com/privacy and update the "Last updated" date. Material changes may be communicated through the Services or to your organisation's administrators.
